The restaurant cash cycle
Restaurants take card payments at the counter and table and may pay suppliers on short terms, so the day-to-day cash cycle can be tight. The pressure comes from big, lumpy costs: a kitchen line, a walk-in, a hood and fire suppression system, a dining-room renovation, a second location. Those are the points where restaurant business loans come in.
Labor is the other weight. Payroll runs weekly or every two weeks, and an unexpected closure, a menu relaunch or a slow stretch can turn a profitable kitchen short of cash within a month.
Lancaster County, PA restaurants in the Census counts
Lancaster County had 808 restaurants and other eating places with employees in 2023, employing 15,495 people with about $329.9 million in annual payroll (County Business Patterns 2023). That included 319 full-service restaurants with 7,627 employees and 366 limited-service restaurants, such as counter-service and takeout, with 5,832. Coffee and snack bars added 117, and drinking places 44.
Eating places skew larger than the county average: only 23.4% of the county's eating places had fewer than five employees, against 47.5% of all employers. In ZIP 17602, 46 limited-service and 31 full-service restaurants had employees (ZIP Code Business Patterns 2023). Separately, 248 eating places in the county had no payroll in 2024 (Nonemployer Statistics 2024).
Restaurant equipment financing
Ranges, fryers, combi ovens, refrigeration, dish machines, espresso equipment and point-of-sale systems all secure their own financing. A new restaurant may finance the full line as a package from one supplier quote; an established one may replace pieces as they fail. Used kitchen equipment can be financed, though partners will want to know the age and where it came from. See equipment financing for loans, leases and finance agreements.
Build-outs, renovations and a second location
A dining-room remodel, a new bar, a patio or a second location is a one-time cost with a long life, which is what a term loan is built for. Partners will want the contractor's estimate, the lease and its remaining length, and evidence the existing restaurant can carry the payment while the new space ramps up. Opening costs beyond construction, such as initial stock, hiring and training, can be requested together.
Restaurant needs and the funding usually discussed
| Need | Usually discussed |
|---|---|
| Kitchen line, refrigeration, hood | Equipment financing |
| Remodel or second location | Term loan |
| Short gap with strong daily card sales | Merchant cash advance (a sale of receipts, not a loan) or working capital |
| Food and beverage stock for a menu change | Line of credit |
Bar business loans and food truck business loans
Bars fund draft systems, coolers, POS and renovations much as restaurants do, with alcohol stock to carry; licensing questions belong with counsel, not with us. Food trucks are an equipment purchase first: the truck or trailer, its kitchen build and a generator. Partners treat a food truck much like any vehicle with fitted equipment and will want the build quote and the vehicle's details.
A hypothetical equipment replacement
Illustration only, not an offer: a 60-seat restaurant's walk-in cooler fails. The replacement is quoted at $16,800 installed. Financing it over the unit's expected working life spreads the cost into a monthly payment the restaurant can test against its statements, rather than draining the cash it needs for payroll that week. An advance against card sales is another option; total the cost of each in dollars before choosing.
How to get a loan for a restaurant
- Recent bank statements and card-processor reports
- The equipment quote or contractor estimate
- The lease, especially its remaining length
- Existing loans and any advances still being remitted
- Time in business and personal credit
